How to Compare Card Payments – Storyous and B-Online/Business Portal

Comparing card payments across individual statements and reports can be confusing, especially when it involves the Storyous POS system and the B-Online/Business portal. In this article, we will provide information on how to most effectively compare card payments on the terminal with the data about these payments in the Storyous POS system.

Why can't I use the settlement statement for comparing card payments?

The settlement statement is always sent the next working day. For example, if a closure took place on November 1st, the settlement will be processed on November 2nd. Transactions from Fridays, weekends, and public holidays are sent together on the next working day.
Card payment information in the B-Online/Business portal settlement may differ from the information in the Storyous closure, depending on when the closure was performed on the terminal and when the closure was done in Storyous.
Settlements are always processed in a 24-hour format, so when comparing the settlement statement with Storyous reports, the numbers may differ, as Storyous allows you to adjust the workday end time in the report section.
The monthly settlement statement does not include the last day of the month, as settlement is done after midnight, thus in the following month.

Important: For comparing card payments, we recommend using the transaction report from the B-Online/Business portal and the card payment receipt report from the Storyous administration.

How to Compare Card Payments in Storyous with the B-Online/Business Portal?

If card payments do not match between the terminal closure and the Storyous POS closure, and you need to check these payments, it’s best to use the payment transaction report from the B-Online/Business portal along with the receipt overview from the Storyous administration.

  1. In your B-Online/Business portal: go to the transaction history and select the required date.
  2. Export these transactions from the B-Online/Business portal.
  3. In the Accounts - Receipts section in Storyous administration, filter only card payments and select the same date.
  4. Then export these receipts from the POS system.
  5. Now you can compare both exports with each other.

Why may card payment data in Storyous and the B-Online/Business portal differ?

Receipts from the Storyous POS do not include tips. Tips are included only in the processed card transaction, meaning that the amount shown in the B-Online/Business portal transaction report will be higher due to any tips.
Also, keep in mind that transactions exported from the B-Online/Business portal do not include payments made with meal vouchers.

Another reason could be a non-integrated payment terminal with the Storyous POS. If you do not have an integrated terminal, manual errors may occur, such as:

  • The transaction was performed only on the terminal and was not recorded in the POS.
  • The account in the POS was closed as cash, even though it was paid by card.
  • A refund was made on the terminal, but the receipt was not canceled in the Storyous POS.
Important: If you have an integrated payment terminal and the payment is recorded in Storyous POS, but missing in the B-Online/Business portal, or if the receipt was not closed in Storyous POS but the payment is recorded in the B-Online/Business portal, please contact our customer support.

Sometimes, the closure in the Storyous POS may happen earlier than the closure on the payment terminal. This could result in the Storyous POS closure being added to the next day’s total, and that transaction won’t be included in the current closure.

Keep in mind that despite the above differences, it is still possible to compare card transaction data between the B-Online/Business portal and the Storyous POS system, but it is important to consider the factors mentioned above.
