Inventories give you an overview of all stock cards and help you align the system status with reality. After you complete an inventory, the quantities on the stock cards are updated according to the values you entered.

Creating an inventory
Go to the Inventory section.
Click the + New inventory button in the top right corner.
Select the Stock for the inventory.
Select the Date
Now – an inventory at the current time,
In the past – backdated inventories can be recorded up to 45 days in the past.
If needed, you can add a Note to the inventory (e.g. “reconciliation inventory”).
Further down, you will find a list of all categories of your stock cards and individual stock cards.
By clicking Show all categories or Hide all categories, you can choose the view that suits you best for doing the inventory.
In the Quantity column, enter the actual stock level of the stock cards. Items with no Current amount entered will not be displayed in the inventory details.
Click Save.
Handling shortages and surpluses
If, after entering the actual quantities, you get a shortage or surplus, we recommend checking whether:
any stock-in entry is missing,
you do not have a duplicate stock-in entry,
the quantity to deduct is set correctly in the recipe.
Simply click the name of the stock card directly in the inventory – the stock card detail will open, where you can check and edit all of this information.
If all this information is correct, it is most likely a physical issue (e.g. loss or missing goods) that needs to be resolved internally in your venue.
Editing an inventory
To edit a specific inventory, click the pencil icon – inventories can be edited up to 45 days in the past.
If your inventory was not done correctly, you have 45 days to make a backdated adjustment.
For inventories carried out more than 45 days ago, the only option is to create a new inventory.
Printing an inventory
You can print the inventory as a clear table for manually filling in quantities. You can choose whether the list of stock cards is displayed in one or two columns.
Tip: The printed version is ideal for staff if you do not want previous stock levels of the stock cards to be visible on paper. |
