In the Bills section of the Storyous web administration are data automatically synchronised from the POS after a bill is closed. Here you will find a complete list of all bills issued on the POS, including options to filter them, review them, adjust the payment type and export them for accounting purposes.
English subtitles can be turned on in the video.
As soon as you open the Bills tab, a table of bills for the selected period is displayed. Each row represents one receipt (or an invoice issued from a bill).
Overview columns
The bills overview shows in particular the following columns:
-
Reference number – a unique identifier of the bill/receipt.
If you have multiple POS devices, each of them has its own receipt prefix, so from the number you can easily see from which POS the receipt comes. - Created on – the date and time when the bill was created and closed on the POS (the moment when you took the payment).
- Total – the total amount of the bill to be paid, including VAT.
-
Discount – the total value of the discount applied to the bill (in euros).
If no discount was applied to the bill, the value 0.00 € is displayed. - Table – the name of the table or account under which the bill was kept (for example Table 5, Bar, B2 or special tables such as Wolt for external orders).
- Closed by – the name of the user who closed the bill (waiter, head waiter, owner, etc.).
- Payment method – the selected payment method, for example Cash, Card, Meal voucher, Invoice payment, or other payment types according to your settings. How to set up more payment methods, you will find in article: Payment methods.
- Fiscalised – information about the status of sending the document to eKasa/CHDÚ (for example Fiscalised, Waiting to be sent, Fiscalisation error). This column lets you quickly check whether bills have been correctly recorded in the fiscal device.
- Type – the document type, for example Receipt or Invoice.
Receipt detail
At the end of the row there is an (i) icon (“Detail”), which opens the receipt detail. Likewise, when you click on the number of a specific receipt, you open the bill detail. Here you can see:
Basic document data
The receipt or invoice number, issue date and time, server, payment type, document type (receipt / invoice) and, in the case of an invoice, also its number and other invoicing details.List of items on the bill
All products, quantities, prices, any discounts, VAT and the total amount.History (bill timeline)
A chronological overview of what happened with the bill – orders, adding/removing items, applying discounts, moving between tables and the final closing of the bill. For invoices, you will also see information about the issue date and due date.Document printing
In the top right you will find the option to print the document (receipt or invoice). This allows you to reprint a receipt later, for example for your accountant or for a customer who requests a duplicate.
Filtering and searching bills
At the top of the Bills tab you will find filters and search fields so you can quickly find specific documents:
-
Filtering by date:
- Select the from – to dates for which you want to display bills. After confirming, the table is narrowed down only to bills from that period.
- This setting is also important for exports (for example to FlexiBee/Pohoda) – the export uses exactly the period you have selected.
-
Filtering by payment type:
- You can filter bills by payment type, for example cash, card payment, invoice payment, prepaid payment (for example Wolt, Foodora if they are integrated with Storyous) or by other payment types you have created in your payment settings.
-
Filtering by staff and other parameters
-
Based on the available filters you can also search:
- By staff member – bills for a specific waiter/manager.
- By table or account name – for example Table 12, Bar, Terrace.
By integration – special tables are used for integrated services.
Using the filters, you can separate for example only external orders paid in advance, which you need to send to the accountant, or quickly see bills for a particular staff member.
-
Based on the available filters you can also search:
Exporting bills to accounting systems
You can export all bills from the web administration so that you can hand them over to accounting or process them in an external system:
Export to CSV: in the Bills → bills section you can export all bills for the selected period to a CSV file. You can open this file for example in Excel and process it further or send it to your accountant.
Export to Abra FlexiBee: if you use the Abra FlexiBee accounting system, you can export bills directly in a compatible format. Only the total amounts of bills and the corresponding VAT are exported, not individual items. You can find the exact steps in this article: Exporting Data to the Abra FlexiBee Accounting System.
Export to Pohoda: from the same section you can also export bills to the Pohoda accounting system (the export generates a file in a supported format which you then import into Pohoda). This function works similarly to the FlexiBee export – first you set the period and then start the export. You can find the steps in this article: Data Export to Pohoda Accounting System.
Exports (CSV, FlexiBee, Pohoda) are mainly intended for accounting and internal control. From the tax authority’s perspective, the decisive document is the fiscal receipt from eKasa, not the export file.
Fiscalisation of bills on Slovak Storyous POS
All bills issued on a Slovak Storyous POS are, during standard operation, fiscalised via eKasa – they are sent to the fiscal device and receive a fiscal document code.
In the Bills → bills section of the web administration you work with data that has been sent from the POS for fiscalisation – the web administration serves for the overview, control, export and accounting processing of these documents.
For cancellation, bill edits or payment type changes on already closed bills, you must always take fiscalisation into account on the Slovak market – we recommend following your internal accounting rules and the steps described in the separate Fiscalisation article.
Tips
- If you experience internet issues or use specific Slovak modes (such as Offline mode or Paragon – offline mode), documents can be sent to the fiscal device and to the web administration later; we recommend following the relevant guides.
If the wrong payment method was selected on the POS (for example cash instead of card), it is possible to change the payment type afterwards. The payment type can be adjusted in the POS in the bills overview or later in the web administration in Bills → Bills. This is useful, for example, when cash was selected by mistake for a transaction that was actually paid by card, or when correcting a bill after a staff error.
