Variants

Stock card variants allow you to keep different names, packagings or subtypes of the same product under a single stock card. In recipes you then work with only one card and when posting stock-in via unit conversion, the system automatically recalculates quantities into the base unit, so you have a clear overview of total stock on a single card.

Benefits of variants

  • Precise conversion of packagings – for each variant you define exactly what quantity of the base unit corresponds to one package.
  • Fewer stock cards – different packagings and names are kept under a single card, and you handle stock counts and purchase planning in one place.
  • Clear stock and margins – all movements are counted into a single stock card, which simplifies cost control, stock counts and reports.
  • Comfort when posting stock-in – for manual and automatic stock-in you always select the correct variant by its name and the system handles the unit conversion for you.

A stock card variant is a form of the same ingredient or goods with a different name or packaging, kept under one shared stock card. Each variant has:

  • its own name (e.g. Tomatoes Tomato, Tomatoes Veselé rajče),
  • an optional EAN code for quick stock-in with a scanner,
  • a defined conversion into the base unit of the main stock card (e.g. 1 pcs = 5 l).

Ways to create a stock card variant

In practice, stock card variants are created in two ways:

  1. During automatic stock-in – if the system cannot automatically link an item from the electronic delivery note to a specific stock card (e.g. the name or unit of measure is different), it offers you the option to create a new variant for the selected stock card. This way a variant is created according to the name and packaging from the delivery note, with unit conversion configured.

    In practice this works so that in the Add item field you start typing the name of the stock card to which the new variant should be linked. 

    After selecting the stock card, the New variant for stock item window opens, where you set the variant name, optionally the EAN and the unit conversion. This way a variant is created according to the name and packaging from the delivery note, with unit conversion configured.
     
  2. When creating or editing a stock card – in the stock card detail or when creating a new card, in the List of variants section you click + Add variant and fill in the required details. In the New variant window you enter the name, optionally the EAN and, if needed, enable unit conversion.
