Multiple locations within one administration

If you have multiple locations under one company (IČO), you will see them together in the web administration. In this article, you will find more information on how to work with multiple locations in the administration within reports, and how product categories and products work.

In the top left corner you will always see which business you are currently working in. By default, All locations will always be displayed. To select a specific one, simply open the menu and choose the particular location.

Reports

The Reports section can be viewed either for all locations together or for each location separately. You can always select a specific location in the top left corner. 

Important:

Product categories 

Product categories are always shared across all your locations. However, with the correct settings in the Products section, you can make sure that only selected categories are displayed for each location. 

Example: Let’s imagine that we have a pizzeria and we have opened a second business alongside it, a café. In the web administration, we will therefore have the categories Starters, Salads, Pizza, Pasta, Risotto, as well as Coffee and Desserts. These categories are shared by default. However, in the café, you do not need the Pizza and Pasta categories.

When setting up products in the café, you will not assign any products to the Pizza category, and thanks to that it will not be displayed in the POS.

Warning: If you delete a product category, it is automatically deleted for all locations. However, you will not lose the deleted products, as they will automatically be moved to the Uncategorised category. You can create the deleted category again and move the products from the Uncategorised category using group actions. 

Products

If you want to have the same products in two locations, you need to copy them from one to the other using group actions. It is not possible in the system to create a product with the same name if it already exists in the administration of another location within the same web administration. 

Example:

In the pizzeria, you want to start selling coffee as well, but you already have it on offer in the café. It is not possible to create a product named Espresso again, because it already exists in the café’s offer. 

  1. In the administration, open the Products section for the Café business.

  2. Find the required product that you want to copy to another business and select it (you can also select multiple products at once).

  3. Click the group actions menu and choose Copy to another location.

  4. Confirm with the Execute button and select the business. If you also use inventory management, you can choose Copy with recipe and stock place for reduction.

  5. Confirm the copying with the Copy button.

Important:

  • Shared across all locations are: ID, Name, Marketing name, Description, EAN, Unit. So if you change one of these items in one location, the change will also be reflected in the other locations.
  • On the other hand, if you change the Product category, Price, Tablet display, VAT, Kitchen printing, or Recipe, the change will only take place in the selected location.
